Common Record Types We Handle
A/AAAA
Points your domain name to the IP address of your web server. The most fundamental DNS record.
MX
Tells the internet where to deliver email for your domain. Getting this wrong means lost mail.
CNAME
Points a subdomain (like mail.yourdomain.com) to another hostname. Used for many third‑party services.
SPF
A TXT record that tells receiving mail servers which servers are allowed to send mail on your behalf.
DKIM
A cryptographic signature that proves your outbound mail actually came from your domain.
DMARC
Tells receiving servers what to do when mail fails SPF or DKIM checks. Important for reducing spoofing.
When DNS Management Matters Most
New email hosting requires MX, SPF, DKIM, and DMARC records to be set correctly. We handle all of them.
Moving email or web hosting means updating DNS records in the right order to avoid downtime.
Pointing your domain to a new web host requires A records and sometimes CNAME changes.
Properly configured SPF, DKIM, and DMARC records make it much harder for spammers to impersonate your domain.
Services like Google Workspace, Office 365, or Zoho often require specific DNS records to verify ownership.

This guide walks you through adding your email account to the classic Microsoft Outlook desktop app (Outlook 2016, 2019, 2021, and Microsoft 365 Classic) using IMAP. IMAP keeps your messages synchronized between the server and all your devices, so anything you read, send, or file in Outlook is reflected everywhere else you check your mail.

Tip: If this is the first time you’ve ever opened Outlook, the Add Account wizard will start automatically — skip to Step 2.
Outlook will try to auto-configure your account, but for IMAP we recommend setting it up manually so the correct ports and encryption are used.
On the IMAP Account Settings screen, enter the following:

Click Next when finished.
Outlook will test the incoming and outgoing server connections. When both show a green checkmark, click Done.
This step ensures Outlook uses your credentials when sending mail. Skipping it is the most common cause of “cannot send” errors.
Send an email to yourself (or another address you can check) to confirm both sending and receiving are working. Allow a minute or two for the message to round-trip.

Thunderbird will attempt to auto-detect the server settings. If it succeeds, choose IMAP (remote folders) and click Done. If the detected settings don’t match the table above, or if auto-detect fails, click Configure manually and continue to Step 3.

If Thunderbird shows a security warning about the certificate, confirm that the hostname is spelled correctly. If it is, you can accept the certificate to continue.

Even though iOS labels the outgoing User Name and Password as “Optional,” you must fill them in — otherwise sending mail will fail.

iOS usually picks the correct ports and SSL settings, but it’s worth confirming them, especially if sending or receiving fails on the first try.

⚠️ Important: please read before continuing
The new Outlook for Windows works differently from Outlook Classic. When you add an IMAP account, Microsoft syncs a copy of your mail to Microsoft’s cloud servers — Outlook then connects to that copy instead of talking to our mail server directly. This is required by Microsoft and cannot be turned off in the new Outlook.
What this means for you:

Webmail gives you everything you need to read, compose, organize, and search your mail from any device with a browser — including phones and tablets, where it adapts to the smaller screen. Nothing to install, nothing to configure.
Webmail is a great option if you:
Most customers also set up their email in a dedicated app such as Outlook, Apple Mail, Thunderbird, or the built-in Mail app on their phone. When you do, we recommend connecting using IMAP.
IMAP is the modern standard for email. With IMAP, your messages, folders, sent items, and drafts live on our server and are synchronized to every device you use. Read a message on your phone, and it’s already marked as read when you open your laptop. File something into a folder, and it’s in that folder everywhere. Send a message from your tablet, and it appears in your Sent folder on your desktop.
This is the experience nearly everyone expects from email today, and it’s what we recommend for all customers.

You may have heard of POP3, an older protocol for downloading email. POP3 was designed in an era when people checked mail from a single computer over a slow dial-up connection. It works by downloading messages from the server to one device — and, by default, removing them from the server in the process.
We don’t recommend POP3 for most customers because it doesn’t match how people use email today. With POP3:
There are some legitimate reasons a customer might prefer POP3 — for example, a very limited mailbox quota on a different account, a strict requirement to keep mail off the server, or a long-established workflow on a single computer. We do support POP3 for customers who understand the trade-offs above and have a clear reason to use it.
If that’s you, please contact our support team and we’ll help you get set up. We’ll walk through the risks with you first so there are no surprises later.
Each mailbox includes 3 GB of storage, which is enough for the typical customer’s day-to-day email, including attachments, sent items, and saved folders. We’ll let you know if your mailbox starts approaching the limit so you have time to clean up or add space.
If you need more room, additional storage is available for $6 per year per GB. Just contact our support team with the amount of extra storage you’d like, and we’ll get it added to your account.

If you’ve received an email letting you know your mailbox is approaching its storage limit, don’t worry — this is a friendly heads-up from our mail system, not an error. It’s giving you time to either clean up some space or request more storage before your mailbox actually fills up.
This article explains what the warning means and the two things you can do about it.
Every SaveMyService Hosting mailbox includes 3 GB of storage by default. That space is shared across everything in your account — your Inbox, Sent folder, Drafts, Trash, Junk, and any folders you’ve created.
When your mailbox reaches roughly 80–90% of its limit, our system sends you a warning so you can take action early. If the mailbox actually reaches 100%, a few things start to go wrong:
The good news: as long as you act on the warning, none of that has to happen.
For most customers, a few minutes of cleanup is enough to free up plenty of room. Here’s where to look, in the order that usually pays off the most:
1. Empty your Trash and Junk folders.
These are the biggest sources of “hidden” storage use. Deleted and spam messages still count toward your quota until the folders are emptied.
2. Look for large attachments.
A small number of big files — PDFs, photos, videos, scanned documents — usually accounts for most of a mailbox’s storage use.
3. Don’t forget your Sent folder.
It’s easy to overlook, but large attachments you’ve sent count just as much as ones you’ve received. Sorting Sent by size and cleaning out a few large messages can recover a surprising amount of space.
4. Clean out old newsletters and notifications.
Mailing lists, receipts, shipping notifications, and automated alerts pile up over the years. A quick search for common senders (for example, noreply, newsletter, or a specific store) lets you select and delete them in bulk.
5. Empty Trash one more time when you’re done.
Deleting messages in most mail apps just moves them to Trash. To actually free the space, empty the Trash folder again after your cleanup.
After cleanup, it can take a few minutes for the storage counter to catch up. The warning emails will stop on their own once you’re back under the threshold.

You can change your email password yourself in Webmail at any time — no need to contact support. After you change it in Webmail, you’ll also need to update the saved password in any email app where your account is set up (on your phone, tablet, or computer). This article walks you through both.
To keep your mailbox secure, your new password must meet all of the following:

You’ll get an on-screen confirmation that the change was successful. The new password is in effect immediately.
Important: after this point, your old password no longer works. Your email apps will start prompting for the new one — sometimes within seconds, sometimes the next time they try to check for mail. Continue to Step 2 to update them.
If you check email on more than one device or in more than one app, you’ll need to update the saved password in each one. Until you do, those apps will keep trying the old password, fail, and may eventually display a warning or stop syncing.
Below are the most common places to update your saved password. You only need to follow the section for the apps you actually use.
If Outlook also prompts you with a Windows credential pop-up the next time it checks mail, enter the new password there and check Remember my credentials.
Note: Because the new Outlook syncs your mailbox through Microsoft’s cloud, it may take a few minutes for the new password to fully propagate.
If Thunderbird doesn’t prompt you, you can clear the old saved password manually:
If Mac Mail continues to prompt for a password after saving, open Keychain Access, search for mail.usgo.net, delete the old entries, then re-enter the new password in Mail.
If you don’t know your current password, you won’t be able to change it from inside Webmail. In that case, please contact our support team from an email address we can verify (or a phone number on file), and we’ll help reset it for you.

If you can receive mail but messages won’t send — or they sit in your Outbox forever — the cause is almost always one of a handful of common issues. Work through this checklist in order. Most customers find and fix the problem in the first three or four steps.
Try sending an email from Webmail first:
If sending works in Webmail but not in your email app — the issue is in your app’s settings or your network. Continue to Step 1.
If sending doesn’t work in Webmail either — the issue isn’t in your app. Skip to the “Still Stuck” section at the bottom and contact us.
The most common cause of “can’t send” problems is an incorrect outgoing server (SMTP) configuration. Open your email app’s account settings and confirm the outgoing server matches exactly:

A few of the most common mistakes:

If you changed your email password in Webmail, your email apps are still trying to use the old password and will fail to send (and often fail to receive too). You need to update the saved password in every app.

Some Internet providers, hotel/airport Wi-Fi networks, and corporate firewalls block outbound connections on port 465 to cut down on spam from infected computers. The symptoms look exactly like an authentication failure or a frozen Outbox.
Quick test: switch to a different network and try sending again.
If sending works on the other network, your original network is blocking port 465. You’ll need to either:
Security software that scans your email — including Norton, McAfee, Bitdefender, Kaspersky, ESET, AVG, and similar — can interfere with secure SMTP connections. It typically tries to act as a “middleman” between your email app and our server, which breaks the encrypted connection.
To check whether this is the issue:
If sending works with email scanning off:
Windows Defender Firewall and macOS’s built-in firewall rarely cause this problem, but a quick reboot is always worth trying if something seems stuck.
If your message did send from our server but came back to your Inbox a few minutes later as a “Delivery Status Notification” or “Mail Delivery Failed” message, the issue isn’t with sending — it’s with the recipient’s server refusing the message. Open the bounce and look for a line beginning with a number like 550 or 552. Common reasons include:
If the bounce mentions our server or a problem on your end, forward it to info@savemyservice.com and we’ll take a look.
To protect everyone on the platform from compromised accounts being used to blast spam, mailboxes are subject to hourly and daily limits on outgoing messages and recipients. The limits are generous enough that normal use will never come close, but they can be reached if:
When the limit is reached, sending stops temporarily and your app will report a generic send failure. Limits reset automatically. If you legitimately need to send a high volume of mail, please contact us in advance — we may be able to raise your limits or recommend a better-suited solution for bulk mail.
If your account has been compromised and is sending spam, our system will sometimes suspend outbound sending automatically to protect the rest of our customers and our mail server’s reputation. You’ll typically see a clear authentication or “sending disabled” error from your app.

A step-by-step checklist to help you find missing mail.
If you can send mail but messages you’re expecting aren’t showing up, the cause is almost always one of a few common issues. This article walks you through them, one step at a time.
Take your time. Most customers find their missing mail in the first two or three steps.
💡 Start here: a quick test
Before anything else, let’s find out where the problem is.
The single most common cause of “missing” mail is that it landed in your Spam folder (sometimes called Junk).
Spam filters are cautious by design — especially for senders you haven’t corresponded with before.
Here’s what to do:
Right-click a message in Spam to find the “Not spam” option
Also check Trash. If you (or a rule) accidentally deleted the message, you can drag it back to your Inbox from the Trash folder.
Before mail ever reaches your Inbox or Spam folder, it passes through our spam filtering system.
Messages that look very likely to be spam or phishing are held in a separate quarantine. They never reach your mailbox — but you can review them and release any that shouldn’t have been blocked.
How to check the quarantine:

Click Mail in the settings menu, then click Spampanel

If you find the message you were expecting:
Tip: You can set the Spampanel to email you a periodic digest of quarantined messages, so you don’t have to remember to check it.
If a rule (sometimes called a filter) is set up to automatically move, delete, or forward incoming mail, messages can “disappear” without ever reaching your Inbox.
This is also the first place to look if you suspect your account has been hacked — attackers often set up secret rules to forward your mail or hide alerts.
To review your rules in Webmail:
The Mail Filter Rules page. A clean account shows “There is no rule defined.”
Common culprits:
Don’t forget your email app. Rules in Outlook, Apple Mail, or Thunderbird run on your computer or phone — separately from the rules above. Check there too if you use one of those apps.
If new mail shows up when you check Webmail, but it’s not appearing in your phone or computer app, the issue is between your app and our server.
Try these, in order:
If your mailbox has reached its storage limit, our server will start turning away new mail. Senders get a “mailbox full” bounce, but you won’t see any error message yourself — you’ll just stop receiving mail.
To check your storage:
The Mail quota bar at the bottom of the folder list shows how much storage you’ve used.
If you’re at or near the limit, you have two options:
If one specific person says they sent you mail but it never arrived — and Steps 1 through 3 didn’t turn it up — the problem may be on their end.
Ask them to check:
If the bounce mentions our server, please forward it to info@savemyservice.com. The wording usually tells us exactly where to look.

Incoming mail won’t reach our server if your domain’s DNS records aren’t pointing at us. Common DNS-related problems:
Quick self-check: visit mxtoolbox.com, type your domain, and look up the MX records. They should match what we provided.
